Illustrated portrait of your Chief of Staff

Does your morning start like this?

A woman at her desk, overwhelmed before her day has started
  • You open your inbox and the day decides for you.
  • You hop on a client call and scramble to remember where you left off.
  • You promised someone "I'll send that over," and it slipped.
  • You find out about a birthday or deadline the day it's here.
  • You tried AI once, got something generic, and decided tech isn't your thing.

That's background chaos. Nobody has built you a system for it yet.

You're already using AI. You're also doing all the work for it.

Chatting ideas with ChatGPT is a great start. Then you close the tab, and tomorrow you start over. It doesn't know your clients, your offers or how you talk.

Your Chief of Staff is different. It knows you, because it interviewed you first. It checks your inbox and calendar on its own, catches the follow-ups you'd forget, and has your morning brief ready before you sit down.

ChatGPT waits for you. Your Chief of Staff works for you. And it's yours to keep, with no monthly fee to me.

Who built this

Hi, I'm Molly.

Molly Thankful

I ran a wellness clinic for years. I loved my clients. What wore me down was everything behind the scenes: emails, scheduling, follow-ups, social posts. It all happened after hours, on nights and weekends.

I hired help, and it was expensive, and I was still at capacity.

Then I set up my first AI assistant. In one evening, it went through my Drive and organized the contracts I'd been putting off for weeks. That night took the fear out of tech for me.

And now I build these systems for people who are where I was, so you get your time back and have a life outside your business. I don't start with AI. I start with you.

Here's your week with a Chief of Staff

  • Every morning: you say "brief me," and you see today's calls with a prep note for each, the messages that matter, and replies already drafted.

  • Anytime you ask: it finds the people waiting on you and drafts the follow-ups you forgot.

  • Mondays: a money check showing where you are against your monthly goal and who still owes you.

  • Fridays: your plan for next week, covering what got done, what's stuck and your top 3.

  • All year: birthdays, anniversaries and deadlines show up in your brief early, with ideas.

It learns your business and how you like things done. When it misses, tell it, and it adds the fix to its rules.

It drafts. You decide. Nothing gets sent without your OK.

Chief of Staff

Starts your day before you do
  • A morning brief every workday, at the time you choose
  • Today's calendar, with a prep note for each call
  • Brain dumps sorted into to-dos, ideas and follow-ups
  • A thinking partner when you're stuck on a decision
  • Follow-ups and dates caught before they slip
  • Drafts only. Nothing gets sent without your yes.
How I use mine

I run my whole business through my Chief of Staff. It tracks my goals and my income, so I always know where I stand. When I have an idea, it rates it out of 10 and tells me what would make it an 8. It researches what I don't have time for, and every morning it tells me what matters most that day.

I built this guide so you can have the same thing.

Molly ThankfulMolly
“Before Chief of Staff, my life was scattered across my notes app, my calendar and the lists in my head, right down to prescription refills and registering my car. Now it all lives in one place, connected to my email, calendar and CRM, and I finally trust that nothing is slipping through the cracks. It's saving me 5 to 10 hours a week, and the bigger gift is the mental space. It even reminds me to take a break when I'm hyper-focused, and flags an idea when it doesn't fit my bigger goals.”
Brooke Bishop, Realtor and Coach

“Chief of Staff helps me stay organized in my business and keeps me on track. It's caught things I would have missed.”
Jeremy, Transformation Coach

Talk to it like a real assistant

Type it, or click the microphone and say it out loud. The guide gives you the exact words.

"Good morning, brief me."

Your day on one page: calls with prep notes, emails that need you, and what's due.

"Brain dump."

Let it all out, messy is fine. It sorts everything into to-dos, ideas and follow-ups.

"Plan my week."

Time blocks built around your calendar and your top three priorities.

"Check my follow-ups."

Who you promised something to and who's waiting on you, with drafts ready for your OK.

"Talk this through with me."

Stuck on a decision? It asks good questions, then gives you 2 or 3 options and its pick.

"Remind me about..."

Deadlines and dates land in your morning brief before they sneak up on you.

"How's my month looking?"

Money in, who owes you, and where you stand on your goal.

Want this waiting for you on your next workday?

Set it up in about 45 minutes. Schedule your brief today, and it's there before you open your inbox.

An example morning brief.

Morning brief from your Chief of Staff

Good morning, Jess.

Today: 2 client sessions. Prep notes are ready for each one.

Needs you: 3 emails. Drafts are waiting for your OK.

Waiting on you: Dana's proposal, 4 days now.

Coming up: workshop slides due Thursday. Your mom's birthday is Saturday.

Top 3 today: send Dana's proposal, finish the slides, follow up on one open invoice.

Yours follows the order you choose in your interview.

How it works

  1. 1.

Start with you. Before setup, your assistant interviews you one question at a time: what drains you, how you like to work, and what it can and can't touch. Tap or type your answers. The quick start takes about 12 minutes, and it turns your answers into the rules your assistant follows. Give it your full attention. Everything else is built on your answers.

  2. 2.

Set up your Chief of Staff. Create its Project, paste its instructions, connect Gmail, Calendar and Drive, and add your starter Library. Every step has a copy button.

  3. 3.

Wake up to your brief. Schedule your first task, the morning brief. Then on day 7, see how much time you got back.

03

The Start With You Interview

A quick start of about 12 minutes, with more you can finish later, so your assistant learns you. It asks one question at a time, with options you can tap: what drains you, how many hours it takes, and what it can and can't touch. You get your How I Work Guide and Your Assistant's Rulebook, the rules it follows every day.

04

Your Chief of Staff, step by step

Create the Project, paste the instructions, add your files, connect your tools and run your first prompt.

05

Your starter Library

Your business, written down for your assistant. Five short docs in your own Google Drive: Brand & Voice, Business Overview, Frameworks & Offers, Clients & Projects, and Preferences. Your assistant reads them first, so it sounds like you and gets your offers right, and they refresh every week.

06

One week in: how much time did you get back?

Your morning brief runs on its own every workday. Then on day 7, see how much time you got back.

About 45 minutes
to set it all up, at your own pace
No tech skills
copy, paste, answer questions
You stay in charge
it drafts, you approve

This is for you if

  • You can copy, paste and answer questions. That's the whole skill list.
  • You run a coaching, healing or solo service business: breathwork, nutrition, energy work, life coaching, and more
  • Your mornings feel reactive and you want a calm start to the day
  • You'd rather answer questions than learn software
  • You want to see one AI employee work before you build a whole team

This isn't for you if

  • You want AI to send emails or post without you seeing them
  • You're looking for a custom-coded app
  • You'd rather have it built with you (that's AI Teams)
  • You plan to set up AI for your own clients (this guide is for your own business)

A skill you keep

Most people give up on AI after one generic answer. This guide teaches you to treat your Chief of Staff like the most brilliant new assistant you've ever hired, on her first day: tell it who you are and how you like things done, and when it misses, say so in plain words. Every employee you add later works the same way, so this is the skill that makes the rest easy.

Questions

Do I need to be techy?+

No. If you can copy, paste and answer questions, you can do this. Every step is in plain words, with links to Claude's own help pages.

What do I need to have?+

A paid Claude plan (Pro covers everything in this guide), the Claude desktop app, and a Google account for Gmail, Calendar and Drive.

How long does it take?+

About 45 minutes to set it all up, at your own pace. The interview's quick start takes about 12 minutes, with about 10 more you can finish later, and it's what makes your Chief of Staff work like you. Do it in one sitting, or split it over two days.

Is it only one employee?+

Yes, on purpose. One employee working well beats three half set up. Your day starts with your Chief of Staff, so we start there too.

Can I add more employees later?+

Yes. Build Your AI Team adds a Content Producer who writes in your voice, plus a third employee you pick: Client Concierge, Sales Assistant or Finance Assistant. Want one built for your business? Book a call and we'll talk about AI Teams.

Why didn't my morning brief show up?+

Scheduled tasks only run while your computer is awake and the Claude app is open. Pick a brief time when your computer is usually on, or leave the app open overnight.

Will it send emails or post for me?+

No. Your Chief of Staff drafts and reports. Anything that leaves your business waits for your yes.

Where does my information live?+

In your own Claude and Google accounts. Your files and client details never pass through Thankfully Tech. Please keep passwords, card numbers and client health details out of your chats.

Can my assistant set it up for me?+

Yes. The guide is written for whoever installs it. Your assistant uses your Claude and Google accounts, so your Chief of Staff works from your inbox and calendar.

Is there live support?+

The guide is step by step, so you can do it on your own. If you'd like to talk about having your whole team built with you, you can add a $197 AI Teams strategy call.

Can I get a call with Molly?+

Yes. Add a $197 AI Teams strategy call: 45 minutes with Molly, fully credited toward AI Teams if you go ahead. Add it at checkout or later from your guide page. The call is non-refundable once booked.
